Full Job Description:
Job Purpose:
The Executive Coordinator (EC) will support the Executive team and other staff as directed. They support the day-to-day operations regarding facilities, purchasing, IT, finance, and other administrative functions. The EC will assist with special projects, event planning, and in-house communications when required.
Job Duties:
· Champion the Service Hospitality vision, mission statement, mandate, values, strategic plan, operational plan, Board directives, CEO directives, COO directives, team norms, HR manual, and safety manual and work with all staff and managers to help Service Hospitality fulfill all its objectives and goals;
Administrative support including, but not limited to, the following:

Answering phone calls, open and distribute mail, greeting clients, filing, photocopying, scanning, ordering office supplies and purchasing

Office maintenance (keeping it clean and organized)

Schedule and book meetings, hotels, flights, car rentals, etc.

Attend and coordinate events/meetings (preparation of materials, liaise with vendor, minute taking)

Perform financial support (mailing cheques, bank deposits, annual audit, record keeping, etc.)
-
Prepare and maintain HR correspondence, documents, and reports
-
Resolve and troubleshoot IT-related issues (maintenance/repairs) and computer setup
-
Assist with special projects when required (annual report, event planning, YSED, etc.)

Support on communications when required, such as handling social media accounts, updates to MailChimp (email contact list), and WordPress (website maintenance)

Other duties as assigned.

Education and Experience:

Post-secondary education specializing in a business-related field, office administration, and at least three years of related experience, or an equivalent combination of education and experience.

Proficiency in Outlook, Word, Excel, PowerPoint, and other office technology and troubleshooting.

Experience exercising discretion and a high degree of confidentiality

Ability to learn quickly, problem solve, and work well under limited supervision.

Proven ability to multi-task, prioritize, and meet multiple and/or unexpected deadlines.

Proven team player with strong written and oral communication skills.

A warm personality and excellent customer service.

Willing to travel, including overnight, within the province throughout the year.

Valid driver’s license and personal vehicle available.
